The services, reviews, contact routes, booking choices, and AI-assisted responses are presented as part of the business experience.
The customer mental model
This should feel like dealing with a good service business.
The customer does not need to understand AgencyLaunch, AI models, pipelines, or workspaces. They need confidence, a useful answer, and a clear route to a human outcome.
Local discovery
Find a credible business and understand it quickly.
You find the business through Google, an advert, a referral, a direct booking or request link, or a QR code on a card, vehicle, window, leaflet, invoice, or review prompt. You choose the route that matches what you need: call, message, quote, callback, email, booking, review, or AI-assisted help.
Service descriptions and coverage make suitability clear before the customer submits anything.
Call, ask the AI, request, or book actions remove uncertainty.
The permanent code opens the current destination chosen by the business, such as booking, a quote request, reviews, WhatsApp, or another safe customer route. You do not need an AgencyLaunch login. The campaign records only limited operational attribution such as a total scan, an approximate unique visitor, a broad device type, and a broad referring source.
The business misses your call
Continue the conversation without calling again.
You call while the team is helping someone else. Instead of reaching silence and starting again later, you receive a short message that identifies the business, acknowledges the missed call, and asks how it can help.
You reply in the same SMS or WhatsApp thread. You can explain what you need, ask for a callback, move toward a quote or appointment, ask for a person, or opt out. You never need an AgencyLaunch login.
- CallYou call the business and nobody is free to answer.
- ReceiveA short message identifies the business and acknowledges the missed call.
- ReplyYou answer naturally with what you need or choose not to continue.
- ResolveThe conversation can arrange a callback, quote, appointment, or human response.
You can continue naturally, ask for a person, or stop automated contact on that channel.
Quiet hours and contact limits prevent repeated automated messages while the team owns the next step.
Immediate assistance
Ask a natural question when the team is busy.
You continue through a connected message or enquiry route and ask about services, availability, areas, quotes, callbacks, or appointments. AI-assisted answers use approved information for this specific business.
The assistant should not invent prices, clinical advice, availability, or promises. When a question needs judgement or a person, it hands the conversation to the business team.
It can explain approved business information, gather useful context, and guide the customer. Important or sensitive decisions stay with the business team.
Conversion choice
Choose the route that matches what you need.
Not every visitor should be forced through the same form. A customer with an urgent question, a quote request, and a routine booking needs a different next step.
Useful when the business is available and the customer prefers direct contact.
Captures service, contact details, and the information the team needs to assess the request.
Records a response route, preferred time, due time, and useful context.
Uses configured appointment types and real business availability.
The chosen route determines whether the business receives a conversation, quote request, callback request, email request, opportunity, appointment request, or confirmed appointment.
Structured enquiry
Give the team enough information to act.
You choose the relevant service, describe what you need, provide an email or phone number, and accept the privacy notice. Marketing consent remains separate and optional.
- ContactYour identity and response details are recorded.
- RequestA structured quote request is created for the chosen service.
- OwnershipThe team sees its state, priority, assignment, and response commitment.
- HistoryThe request remains connected to later messages, appointments, and outcomes.
You can say “I want to speak to a person.” The assistant acknowledges the request, pauses automated replies and passes the conversation to the team. The chat history stays available; this is not an immediate live transfer or a guaranteed callback time.
Human handoff
Ask for a call at a sensible time.
If a conversation is easier by phone, you can provide the best time to call and what you want to discuss. The business receives a callback request with your preferred time. That preference is not a reserved calendar slot or a promise that somebody is available then; the team must confirm or arrange an alternative.
The callback appears in the business workspace with a customer, owner, due time, state, and linked history. It is not left as a loose email reminder.
Live scheduling
Choose the correct appointment and a real time.
Open the booking link supplied by the business, or its booking widget on the existing website. For a configured service, you select an appointment type. AgencyLaunch then calculates availability from the business’s hours, resources, eligible staff, blackouts, buffers, existing bookings, and time zone.
Instant bookings are confirmed after successful submission. A request-to-book still needs staff confirmation. Save the secure management link shown after submitting; it allows you to see, reschedule or cancel that appointment. Keep the link private. Disabling new bookings does not by itself revoke existing management links. If the business or calendar is unavailable, contact the team.
Booking is not payment to AgencyLaunchThis step creates or requests an appointment with the service business. Any charge for the actual service is paid to the business according to its own payment process.
Secure self-service
Return to one place for everything already in progress.
Bookmark the business’s customer sign-in page. Enter the email address the business has on file, open the emailed sign-in link, and select Continue to portal. No password is needed. You can repeat this yourself when you return; existing private portal links also work.
You can see your next appointment, follow request status, accept or decline a quote, open the business’s hosted payment link, download shared documents, read the conversation, and send the team a reply.
- ReviewSee the current appointment, quote, payment, and request status. After you pay externally, staff verify it and record receipt; payment status does not update automatically. If it still shows unpaid, contact the business before paying again.
- DecideAccept or decline a published quote and open a secure hosted payment page.
- ReplySend a message that returns to the business's normal team Inbox.
- RequestAsk for a new appointment time or cancellation. The team confirms the change before the booking is altered.
Use the Customer portal button on the business’s website, or bookmark its customer sign-in page. Enter the email address you gave the business. You will receive a single-use sign-in link valid for 15 minutes; open it and select Continue to portal. No password is needed. You stay signed in on that device for 30 days unless you sign out or access is revoked. If you return later or lose the email, repeat the same steps yourself. Keep sign-in emails private.
After submission
Receive confirmation, service, and useful follow-up.
After you submit, AgencyLaunch creates the correct operational record and the business takes ownership. Depending on the route, you receive a confirmation, appointment details, or an expectation for when the team will respond.
- ConfirmYou know the request or appointment was received.
- RespondThe business sees the full context and follows up through the agreed channel.
- DeliverThe business provides the consultation, repair, care, quote, or other service.
- Follow upYou may receive a reminder, useful follow-up, or review request according to consent and configuration.
Operational privacy consent and optional marketing consent are separate.
Its team confirms suitability, prices, appointments, advice, and work that needs human judgement.
Contact, source, messages, requests, appointment, ownership, timing, and outcome remain linked.
You do not become an AgencyLaunch subscriber or dashboard user.
You moved from “I need help” to a clear, acknowledged next step without waiting on hold, guessing which form to use, or creating an unnecessary platform account.
